How to Compress a PDF Without Making It Unreadable

Understand what makes the PDF large

A text document can contain hundreds of pages and remain relatively small. A short scanned brochure may be much larger because every page is stored as a high-resolution image. Photographs, screenshots, complex graphics, embedded fonts and duplicated resources all add data.

Compression is most effective when the file contains images that can be reduced. A PDF that is already optimised, encrypted or mostly compact text may show little change. Do not judge success by percentage alone: the useful target is a file below the required limit that remains fit for purpose.

Check the original size, page count and upload limit before beginning. Record the required maximum so you can compare the output objectively.

Improve the source before creating the PDF

If you control the original document, resize oversized photographs and remove unused images before exporting. Crop scans to the page, choose an appropriate scanning resolution and delete blank or duplicate pages.

Export directly from the source application when possible rather than printing to paper and scanning again. Real text is usually sharper, searchable and more compact than a full-page photograph of text.

Keep a master version with the best available quality. Produce the delivery PDF as a separate copy. This gives you a clean source if another recipient later needs print quality or accessible text.

Choose a compression level for the purpose

Start with balanced compression for ordinary screen reading, email and form uploads. It aims to reduce image data while keeping normal text, charts and photographs usable.

Choose stronger reduction only when a strict limit cannot otherwise be met. Use higher quality for print, detailed diagrams, evidence photographs, small screenshots, fine signatures or documents that will be enlarged.

A label such as “medium” is not a guarantee. Different tools use different processing methods, and two PDFs can respond very differently to the same setting.

Worked compression decision

Suppose a 14 MB application must be below 10 MB. First remove an accidental blank page and try balanced compression. If the result is 8.4 MB and the smallest text, photograph details and signatures remain clear, it meets the requirement.

If the result is still 11 MB, stronger compression is one option. But if only an unnecessary appendix causes the excess, extracting the required pages may preserve better quality. If photographs are the cause and the source document is available, reducing those images before exporting may also outperform repeated PDF compression.

Do not continue compressing merely to achieve the smallest possible number once the requirement has been met.

Open and inspect the downloaded PDF

  1. Confirm it opens without an error.
  2. Check the page count and order.
  3. Read the smallest body text at normal zoom.
  4. Inspect signatures, stamps, screenshots, charts and QR codes.
  5. Search or copy text if that function matters.
  6. Print a representative page if the recipient will print it.
  7. Check the final file size and test the real upload when appropriate.

Look at several pages, not only the cover. Image quality may vary throughout a document. Keep the original until the compressed copy has been accepted and no further edits are required.

Take care with forms, security and digital signatures

Interactive form fields, annotations, layers, attachments, bookmarks and accessibility tags may not survive every processing method unchanged. Test the exact functions the recipient needs.

Changing a digitally signed PDF can invalidate its signature because the file contents have changed. If signature validity matters, obtain the correct workflow before compressing. Password-protected or restricted PDFs may also be unsupported.

Compression does not redact confidential information. Visually covering text is not the same as securely removing it. Use an appropriate redaction process for sensitive content.

When compression alone is not enough

  • Remove genuinely unnecessary pages.
  • Use Split PDF to send only the required extract.
  • Return to the source document and reduce oversized images.
  • Send separate clearly labelled files when the recipient permits it.
  • Use an approved file-sharing service for a high-quality original.

A ZIP archive may not significantly reduce an already-compressed PDF. Whatever method you choose, confirm the recipient can open it and that sharing permissions are correct.
